Setting up Email
Creating Email Addresses
Knology offers you the ability to create your own email addresses, reset your password and other useful options through our free online management tool called

Your Knology email address will be set up as username@knology.net (as long as the username isn't already taken by another Knology customer). Even though Microsoft Outlook Express (the email software supported by Knology) offers an option to save your password between sessions, we urge you to write your password down and keep it in a safe place.
Please note that your username and password are case sensitive and should be typed in lowercase.
Configuring Outlook Express

Manual Configuration
After Microsoft Outlook Express is installed on your computer, it needs to be configured with your personal information so that you may send and receive email with your Knology account.
NOTE: Any Knology email address that you add to Outlook Express must also exist on Knology's mail server in order for you to send and receive email using that address.
| 1. | Click on the Start button, go to Programs, and click on Outlook Express |
| 2. | Go to 'Tools' on the menu bar, then choose 'Accounts'. |
| 3. | Click 'Add', and choose 'Mail'. |
| 4. | For 'Display Name' enter your first and last name. Click 'Next'
* All info below must be entered in lowercase *

| 5. | For 'E-mail Address', enter your Knology email address (e.g. joe@knology.net) and click 'Next' |
| 6. | On the 'Email Server Names' screen, make sure the Incoming Mail Server Type is set to POP3.
The Incoming Mail Server name is: pop3.knology.net
The Outgoing Mail Server name is: smtp.knology.net

| 7. | Click 'Next'. |
| 8. | Enter your account name (this should already be filled in and is always the first part of your Knology email address). If you would like Outlook Express to remember your email password for you, be sure 'Remember password' is checked and enter it into the 'Password' field. Make sure both are lowercase. Click 'Next'. |
| 9. | Click 'Finish' to complete the setup |
| 10. | Click 'Tools' on the menu bar, choose 'Accounts', select the account, and click 'Properties'. |
| 11. | In the 'Mail Account' field, enter your email address. |
| 12. | Click 'OK' |
| 13. | Click 'Close' |
| 14. | The account setup is complete. |
Outlook Express remembers your password
After clicking the Send and Receive button at the top of the screen, it will prompt you for your username and password (unless you've selected the 'Remember Password' option already.) You can get Outlook Express to store your password so that you don't have to type it in every time you check your mail by following these steps:
1. Click 'Tools' on the menu bar, and choose 'Accounts'
2. On the 'Mail' tab select the account, and click 'Properties'
3. Click on the Server tab at the top of the window
4. Check the 'Remember password' option
5. Type your password in the box provided
6. Click the 'OK' button
Sending mail using a different account
If you want to send email using one of the other accounts in Outlook Express (besides the default account), select the account you want to use in the From field when composing a message (before you send it).
Sorting your email
If you have multiple email accounts setup in Outlook Express and you aren't sorting your incoming email, it can quickly become confusing since it is all thrown together in your inbox. You can get Outlook Express to sort your incoming email to separate folders. Setting up your Mail Message Rules in the following way will automatically route incoming email to separate folders.
| 1. | Click 'Tools' |
| 2. | Go to 'Message Rules' |
| 3. | Click on 'Mail' |
| 4. | If the New Message window did not pop up, click on the 'New' button to open it |
| 5. | In the first box 'Select the Conditions for your rule', scroll down until you find 'Where the 'To' line contains people' and check that option |
| 6. | Click on the underlined 'contains people' in the bottom 'Rule Description' box |
| 7. | Under 'People' select your account, and click the Ok button |
| 8. | In the second box 'Select the actions for your rule', find the 'Move it to the specified folder' option and check it |
| 9. | Click on the underlined 'specified' in the bottom 'Rule Description' box |
| 10. | Highlight 'Local Folders' and click the 'New Folder' button (if your email address specific folder does not already exist) |
| 11. | Type in your email address, and click the 'OK' button |
| 12. | Click 'OK' |
| 13. | Click 'OK' |
| 14. | Click 'OK' |
| 15. | Click the 'Send and Receive' button to check for new mail |
Setting up Message Rules
If you have signed-up for Knology's SpamFryer service and you are using the "Tag and deliver to Inbox" option, you may want to setup Outlook Express to move messages marked as spam to a separate folder.
| 1. | Click 'Tools' |
| 2. | Go to 'Message Rules' |
| 3. | Click on 'Mail' |
| 4. | If the New Message window does not pop up, click on the 'New' button to open it |
| 5. | In the first box 'Select the Conditions for your rule', scroll down until you find 'Where the Subject line contains specific words' and check that option |
| 6. | In the second box, check the 'Move it to the specified folder' option |
| 7. | Click on the underlined 'contains specific words' in the bottom 'Rule Description' box |
| 8. | Enter the following in the text box: *****SPAM***** |
| 9. | Click 'Add', then click 'OK' |
| 10. | Click on the underlined 'specified' in the bottom 'Rule Description' box |
| 11. | Select the folder you want your spam-labeled mail sent to (for example, the 'Deleted Items' folder), and click the 'OK' button. |
| 12. | Click 'OK' |
| 13. | Click 'OK' |
| 14. | Now any mail with the words *****SPAM***** in the Subject line will automatically be moved to your Deleted Items folder. |
Configuring MAC Mail
E-mail Program Configuration
| 1. | Open the MAC Mail program and choose 'Mail' then 'Preferences' |
| 2. | Click 'Accounts' and then 'Add Account' |
| 3. | Fill in your account information:
- for 'Account Type' choose POP
- type a description of the account (such as 'Knology' or 'My Email')
- type your Knology e-mail address
- type your name as you want it to appear on the e-mail you send
- for 'Incoming Mail Server' type in pop3.knology.net
- for 'User Name' type in the first part of your e-mail address
- type in your password
- for 'Outgoing Mail Server' choose smtp.knology.net |
| 4. | Click 'OK' |
| 5. | Close the 'Accounts' window |
Creating a Basic Rule
For example, if you wanted to create a rule that would send all email labeled as spam to the deleted folder
| 1. | Open Mail and choose 'Mail' then 'Preferences' |
| 2. | Click 'Rules' and then 'Add Rule' |
| 3. | Set up the rule's criteria
- for 'Description' you could name it SPAM
- under 'Criteria' you could select
'Subject' -> 'contains' -> SPAM
- under 'Action' you could then check 'Delete the Message' |
| 4. | Click 'OK' |
Using Knology Webmail
Logging in
Knology offers all customers the ability to check their e-mail through the convenience of our home page. Wherever you go, you can log into your Webmail by going to www.knology.net and clicking "CHECK EMAIL", which is located in the upper right corner.

Once you click 'Check Email' you will be directed to a Webmail page requesting your username and password. Your username will always be the first part of the e-mail address you want to check. Once entered, click 'Login'. You will then be taken to your Inbox, where you will be able to send and receive e-mail.
Navigating through Webmail

Once logged into Webmail, you will be able to view your Inbox. To navigate through Webmail, use the icons located on the top left side, underneath the word 'Webmail'. If you hold your mouse over each icon, a small pop-up window will appear with a description of each function.
• The 'Inbox' is where you can read your new mail.
• The 'Sent Items' folder stores all the emails you have sent using Webmail.
• The 'Saved Messages' folder saves all outgoing messages.
• The 'Deleted Items' folder stores the emails you have chosen to delete.
• The 'Spam Fryer' folder stores emails that are determined to be spam. This folder can only used if you have our Knology Spam Fryer service turned on.
• The 'New Message' icon takes you to a screen where you can create a new email.
• The 'User Configuration' icon takes you to a screen where you can change the settings associated with your Webmail account.
• The 'Address Book' takes you to a screen where you can save important email addresses to be used when creating new messages.
• The 'Check For New Mail' icon, once clicked, will refresh the webpage and display any new emails that have arrived since you logged in.
• The 'Logout' icon ends your Webmail session and returns you to your Knology home page.
To delete or save a message, use the 'Move' button at the bottom right side of your inbox. By default, the 'Send to trash' option is already selected. To delete an unwanted message, select the box on the right side that is on the same line as the message you wish to delete and then click 'Move'. The selected message will be moved to your 'Deleted Items' folder. To save a message, click on 'Save' next to the 'Move' button, select the message, and then click 'Move'. The message will be sent to your 'Saved Messages' folder.
If you have more than one page worth of email messages, you can use the 'First', 'Last', 'Prev' (previous) and 'Next' links to move through them. You can also use the 'Find' box at the top of the page to search your inbox for a certain keyword when trying to locate a specific message or subject. The top right side of your page will display the total number of messages you have as well as the amount of space your email is currently using, displayed as the 'Mailbox Size'. By default, all Knology customers are allotted 25 Mgs of space to be used for their email needs.
